PROMPT

Create a skill called "CRM Hygiene Bot". Run regular scans on my CRM data or recurring CRM exports. Detect and flag: duplicate contacts and accounts (exact and fuzzy match), stale records (job changes, company acquisitions, bounced emails), junk data in required fields ("TBD", "N/A", placeholder text), inconsistent formatting (phone numbers, states, industries). For duplicates, recommend which record to keep and what to merge. For stale data, attempt re-enrichment automatically. Generate a weekly CRM health report with: total records, duplicate rate, stale rate, field completeness by object, and trend vs. last week. Alert me immediately for high-priority issues (e.g., active deal contact left the company).

How It Works

This skill runs ongoing scans of your CRM data, catching problems before they

compound. Duplicates get flagged and merged. Stale records get refreshed. Junk

data in required fields gets called out. You get a weekly health report instead

of a quarterly crisis.

What You Get

  • Duplicate detection and merge recommendations (contacts, accounts, leads)
  • Data decay alerts: contacts who've changed jobs, companies that were acquired
  • Field standardization: inconsistent industry names, phone formats, state abbreviations
  • Junk data detection: "TBD", "N/A", "asdf" in required fields
  • Weekly CRM health score with trend tracking

Setup Steps

  1. Connect your CRM or provide a recurring export (Salesforce, HubSpot, or export)
  2. Define merge rules: which record wins on conflict?
  3. Set scan frequency (daily for critical fields, weekly for full scan)
  4. Configure alert channel for issues requiring human judgment

Tips

  • Start with duplicate detection — it's the highest-impact, lowest-risk cleanup
  • Auto-merge only exact matches; flag fuzzy matches for human review
  • Track your health score weekly — it should trend up and stabilize
  • Run a full enrichment pass after cleanup to fill newly emptied fields
