Smart Lead Router
Right lead, right rep, right now — no black holes
Route new leads with clear rules and an audit trail so they do not disappear into the wrong queue. Works well with form feeds, CSV drops, or recurring inbound-lead exports.
INGREDIENTS
PROMPT
Create a skill called "Smart Lead Router". When a new lead enters my system or appears in my inbound-lead export, route it based on these rules in priority order: (1) existing account ownership — if the lead's company has an active opportunity, route to that rep, (2) territory match — route by geography/segment rules, (3) round-robin — distribute evenly among eligible reps, (4) capacity adjustment — skip reps at >90% queue capacity. Set SLA timers: high-intent leads = 5 min response SLA, standard leads = 1 hour. Auto-escalate to manager if SLA is missed. Log every routing decision with reason. Weekly report: lead volume by rep, average response time, SLA compliance rate, and misrouted leads.
How It Works
When a new lead enters your system, the skill evaluates routing rules quickly and consistently:
territory match, existing account ownership, rep capacity, specialty matching, and
round-robin fairness. Every lead gets assigned and tracked against response SLAs.
What You Get
- Instant lead routing based on configurable rules
- Territory matching with fallback logic
- Account ownership detection: route to existing account owner
- Capacity balancing: don't overload reps who already have a full queue
- SLA tracking: time from lead creation to first touch, with escalation
- Routing audit trail: why was this lead sent to this rep?
- Weekly routing report: volume by rep, SLA compliance, misroute rate
Setup Steps
- Define routing rules: territory, account ownership, round-robin, specialty
- Set capacity limits per rep (optional)
- Configure SLA timers and escalation paths
- Connect your lead sources (web forms, marketing automation, enrichment tools)
Tips
- Speed matters: leads contacted quickly tend to convert better — optimize for speed
- Existing account ownership should always override round-robin
- Track misroute rate — it's a hidden pipeline killer
- SLA escalation to a manager after 30 minutes ensures no lead sits
