Showing Confirmation & Reminders

Reduce no-shows with confirmations, reminders, and easy rescheduling

No-shows waste everyone's time — especially the seller's. This recipe sends confirmation requests, timed reminders, and optional auto-cancellation when attendees go dark. Sellers stay informed at every step.

PROMPT

Create an OpenClaw recipe that reduces real estate showing no-shows: - On new/updated showing: send confirmation request (Confirm / Reschedule / Cancel) - Reminders at 24h and 2h with access instructions - If not confirmed by cutoff, final nudge + optional auto-cancel - Notify seller/occupant of confirmed, rescheduled, and cancelled showings - Log confirmation status and cancellation reason codes - For occupied homes, send a prep checklist 2h before SMS confirmation: "Tour for {{address}} on {{date_time}}. Reply: '1' to confirm, '2' to reschedule, '3' to cancel." My showing tool is: [ShowingTime / calendar / other]

How It Works

When a showing is created or modified, the recipe immediately sends a confirmation

request with Confirm / Reschedule / Cancel options. Reminders fire at 24h and 2h

before. If confirmation isn't received by the cutoff, it sends a final nudge and

optionally auto-cancels with notice to all parties.

What You Get

  • Immediate confirmation request with one-tap reply options
  • Timed reminders at 24h and 2h with access instructions included
  • Auto-cancel on no-confirm (configurable: on or off)
  • Seller/occupant notifications for confirmed, rescheduled, and cancelled showings
  • Cancellation reason tracking and logging
  • Occupied-home prep checklist sent 2h before showing

Setup Steps

  1. Connect your calendar or showing management tool
  2. Connect SMS and email for attendee and seller notifications
  3. Set confirmation cutoff (default: T-12h) and auto-cancel policy
  4. Add default access instructions and parking notes per property
  5. Customize templates for your market

Tips

  • Include access notes in every reminder to prevent last-minute confusion
  • For seller-occupied homes, send a prep checklist (kids, pets, lights) 2h before
  • Track cancellation reasons over time — patterns reveal pricing or access issues
  • Normalize time zones for traveling attendees
  • For self-guided tours, include identity verification steps
