Pipeline Hygiene Bot
Kill zombie deals before they kill your forecast
Your pipeline is full of deals going nowhere. This skill continuously monitors activity levels, flags stale opportunities, nudges reps, escalates to managers, and recommends closing dead deals — keeping your forecast honest.
INGREDIENTS
PROMPT
Create a skill called "Pipeline Hygiene Bot". Monitor all open deals in my pipeline. Flag deals as stale when there's no meaningful activity (email, meeting, document share) within these thresholds: Discovery = 10 days, Demo = 7 days, Proposal = 5 days, Negotiation = 3 days. When a deal goes stale: Day 1 — Slack DM the rep asking for an update or close. Day 3 — if no response, alert the manager. Day 7 — recommend auto-closing. Weekly pipeline hygiene report: total stale deals, stale value by rep and stage, deals closed from stale status, and overall pipeline health score. Historical tracking: what % of deals flagged as stale eventually closed-won?
How It Works
The skill monitors every open deal for signs of life: emails, meetings, document
activity, stakeholder engagement. When activity drops below your thresholds, it
triggers a cascade: nudge the rep, then alert the manager, then recommend closure.
What You Get
- Stale deal detection with configurable thresholds per stage
- Automated rep nudges: "Deal X has had no activity in 14 days — update or close?"
- Manager escalation after nudge is ignored
- Pipeline rot report: total stale value, by rep, by stage
- Auto-close recommendations for truly dead deals
- Historical analysis: what % of stale deals ever close? (spoiler: very few)
Setup Steps
- Define inactivity thresholds by stage (e.g., Discovery: 7 days, Proposal: 5 days)
- Configure nudge > escalation > close-recommendation cascade timing
- Set alert channels (Slack DM to rep, Slack channel to manager)
- Run the first pipeline scan to establish your baseline rot rate
Tips
- The hardest part is cultural: reps hate killing deals. Frame it as forecast accuracy, not failure.
- "Stale" thresholds should tighten as deals advance — a deal in Negotiation with 5 days silence is more alarming than one in Discovery
- Track how many stale deals actually close — the data will convince skeptics
- Pair with the Deal Stage Auditor for a complete pipeline health system
